1. Relationship to Main Terms & Conditions
1.1. This document outlines the payment terms and conditions for High-Concept Retreats (also trading as "Concept Retreats" and accessible via conceptretreats.com) and Liviu Tipurita Hypnotherapy. All references to "we," "us," or "our" refer to the same legal entity operated by Liviu Tipurita.
1.2.This Payment Information document forms part of and is supplementary to our main Terms & Conditions.
1.3. By agreeing to these payment terms, you also confirm your acceptance of our main Terms & Conditions document.
1.4. All definitions and interpretations from our main Terms & Conditions apply equally to this Payment Information document.
2. Prices
2.1. Our retreat prices are quoted in Sterling (GBP), US Dollars (USD), or Euros (EUR), depending on the retreat location.
2.2. Prices provided in quotations are valid for 14 days. Once you've received a quotation, your price is guaranteed for this period while you make your decision.
2.3. Any change in price will be notified to you and agreed with you in writing prior to your retreat.
2.4. Prices typically include accommodation, specified meals, and scheduled activities as detailed in your booking confirmation. Additional services may incur extra charges.
2.4.1. Additional services, activities, items, or consumables (including alcoholic beverages) requested during your retreat will be charged at the prices specified at the time of request. These prices may differ from those listed on our website or in pre-retreat materials. All additional charges will be clearly communicated before you commit to the purchase.
2.5. Unless explicitly stated, prices do not include:
• Travel to and from the retreat location
• Travel insurance
• Personal expenses
• Additional activities not specified in the retreat programme
• Alcoholic beverages (unless explicitly included)
• Gratuities
3. Booking & Deposit
3.1. To secure your place on a retreat, we require a 50% deposit of the total retreat cost at the time of booking.
3.2. Your booking is not confirmed until we have received your deposit and sent you a written confirmation.
3.3. The remaining balance must be paid in full no later than 30 days before the start date of your retreat.
3.4. If you book 30 days or less before your retreat, payment of the full balance will be required at the time of booking.
3.5. We reserve the right to cancel your booking if payment is not received by the specified deadlines.
4. Payment Methods
4.1. We accept the following payment methods:
• Revolut transfers (preferred method for various currencies)
• Online bank transfers to our UK bank accounts
• Credit and debit cards (Visa, Mastercard, American Express)
• PayPal
4.2. We do not accept cheques.
4.3. All credit and debit card transactions are subject to validation checks and authorisation by the card issuing company. We cannot be held liable if the card issuing company refuses or does not authorise payment to us.
4.4. For bank transfers, please use your name as the payment reference.
5. Currency & Exchange Rates
5.1. The currency for your payment will be specified in your booking confirmation.
5.2. If you choose to pay in a currency different from the one quoted in your booking confirmation, you are responsible for any exchange rate fluctuations or conversion fees. This includes:
• Any currency conversion fees charged by your bank or card issuer
• International transfer fees imposed by either the sending or receiving bank
• Intermediary bank charges for international transfers
• Any shortfall in the amount received by us due to exchange rate differences
5.2.1. Please note that when making international payments, you should select the option to pay all fees ("OUR" instruction for bank transfers) to ensure we receive the full amount due.
5.3. We use the exchange rate provided by our payment processor on the day of the transaction.
6. Administrative Fees
6.1. Administrative fees for booking changes with less than 30 days' notice:
• £500 for dates changed between 15-29 days prior to the start of your retreat
• £1,000 for dates changed 10-15 days prior to the start of your retreat
• £1,200 for dates changed 3-10 days before the start of the retreat
• Changes are not possible with less than 72 hours' notice
6.2. Changing the name on a booking (transfer to a third party) with at least 10 days' notice: No fee, but subject to approval.
6.3. Additional administrative fees may apply for special requests or arrangements made after the initial booking.
7. Refund Policy
7.1. Cancellation refunds:
• 100% refund of monies paid if cancelled 30+ days before the start date
• 50% refund of monies paid if cancelled 15-29 days before the start date
• 0% refund of monies paid if cancelled less than 15 days before the start date
7.2. No refunds, credits, or transfers will be given for no-shows, late arrival, or early departure from the retreat, unused days, travel delays, adverse weather conditions, earthquakes, or any other natural disasters.
7.3. If we cancel your retreat, all payments, including your deposit, will be refunded in full within 14 days of the cancellation notification.
7.4. Refunds will be processed using the same payment method used for the initial transaction, unless otherwise agreed.
8. Payment Security
8.1. We use industry-standard payment processors (Stripe, PayPal, iZettle, Square, Revolut) that comply with the Payment Card Industry Data Security Standard (PCI DSS).
8.2. We do not store or have access to your complete credit card details.
8.3. Our payment processors use encryption technology to protect your payment information during transmission.
8.4. For your security, we may require additional verification for certain payment transactions.
8.5. In accordance with the General Data Protection Regulation (GDPR), we collect and process your payment data only as necessary to complete transactions and provide our services. Payment information is:
• Collected only for the explicit purpose of processing retreat payments
• Stored securely with appropriate technical and organizational measures
• Retained only for the period required by UK tax and accounting regulations
• Never used for purposes other than those specified at collection
• Never shared with third parties except those necessary to process payments
• Subject to your rights of access, rectification, and erasure as outlined in our Privacy Policy

9. Receipts & Invoices
9.1. A receipt will be sent to the email address provided during booking.
9.2. If you require a formal invoice, please request this at the time of booking and provide the details that you need to appear on the invoice.
9.3. All financial transactions are recorded in compliance with UK tax regulations.
10. Financial Difficulties & Payment Plans
10.1. If you are experiencing financial difficulties, please contact us to discuss potential payment arrangements.
10.2. In exceptional circumstances, we may be able to offer a payment plan, which must be agreed in writing before your retreat.
10.3. Any payment plan agreement must be fulfilled according to the agreed schedule; failure to meet payment deadlines may result in cancellation and no refund.
11. Hypnotherapy Payment Information
11.1. Hypnotherapy sessions must be paid for in advance at the time of booking.
11.2. The same payment methods listed in Section 4 are available for hypnotherapy sessions.
11.3. For hypnotherapy session cancellations, a minimum of 24 hours' notice is required for a refund or reschedule; otherwise, the full fee will be charged.
